What it does not do

It is worth being clear about the limits before you sign up.

  • No CRM or portal connection. Botsmith does not link to your agency CRM, your trust accounting software or the property portals. It does not pull in a listings feed, so it will not know about a new listing until that listing is on a page it has read, or you add it yourself.
  • No live availability. It cannot see which rentals have been leased or which inspection slots are full. Keep those pages current, or tell the bot to send people to your listings page for the latest.
  • No integrations or public API. Enquiries reach you by email and sit in your dashboard. Nothing is written back into other systems.
  • Text chat only. There is no voice or phone answering.

Where the answers come from

You give Botsmith your website address and it builds a private knowledge base from your public pages. Plenty of agency detail never makes it onto the site, so you can also upload files such as a landlord fee schedule, a tenant information pack or an auction guide as PDF, Word or Excel, or paste text straight in. The bot answers from all of it and links back to the source.

When your fees or processes change, edit the page as you normally would. Botsmith reads your site again every week, and you can start a fresh read from the dashboard whenever a change cannot wait.

Set rules for anything risky

  • Contracts go to a person. Write an instruction such as "for questions about a contract of sale, cooling-off or a lease clause, ask them to call the office". It applies to every reply straight away.
  • No legal or financial advice. Tell the assistant not to comment on what a property is worth, tax or borrowing, and to refer those questions to the right professional.
  • It admits gaps. When nothing in your content covers a question, the assistant says it is not sure rather than making up a price or policy.
  • Gaps become answers. Unanswered questions are collected in your dashboard. Answer one once and the bot uses that answer from the next message on.
  • Enquiries land in your inbox. When someone leaves a name, phone number or email, you get an email with the whole conversation attached.

Off your website, too

Each bot also gets its own chat link and QR code. Print the code on a signboard, a brochure or an open home flyer, and a buyer standing outside the property can ask questions on their phone. It replies in the language the visitor writes in, which helps agencies with clients from many backgrounds.

Pricing for an agency

A single office with one website fits Starter at US$19 a month, which includes one bot and 2,000 messages a month. A group with several offices or brands can take Pro at US$49 a month for up to five bots and 10,000 messages, with no "Powered by" badge. Frequently asked questions

Does it connect to our CRM or the property portals?

No. Botsmith does not connect to agency CRMs, trust accounting software, property portals or listing feeds. It answers from your website pages and the files or text you add, and emails you enquiries it collects.

Will it know when a new listing goes live?

Only once the listing is on a page it has read. Botsmith re-reads your site every week, and you can start a fresh read from the dashboard straight after you publish a listing.

Can it answer questions about a contract or a lease?

You decide. We recommend an instruction that sends anything about a contract of sale, cooling-off or a lease clause to a person, and tells the assistant never to give legal or financial advice.

Can tenants use it after hours?

Yes. It replies at any hour from your content, so a tenant can find your application steps or urgent repairs number late at night, and any contact details they leave are emailed to you.
